# Fieldhouse Connect Product Usage Guide

Fieldhouse Connect helps athletes and parents build a recruiting profile, find football programs, organize coach outreach, track highlight views, and discover camps.

## Who It Is For

- Athletes building a recruiting profile.
- Parents managing one or more athlete profiles.
- Families tracking schools, coaches, camps, emails, direct messages, and highlight activity.

## Quick Start

1. Open Fieldhouse Connect.
2. Log in or create an account.
3. Choose an account tier when creating a new account or from the signed-in account section.
4. Complete the Player Profile section.
5. Choose a search state, division, and position.
6. Select Find matching programs.
7. Review AI College Suggestions above the school cards when available.
8. Review schools in Program Matches.
9. Select schools to view coach information.
10. Generate emails or direct messages when available.
11. Track outreach history and highlight views when available.
12. Review camps in the Football Camps section.
13. On Pro or Family, save a camp for the active athlete and add it to the calendar.
14. Track upcoming and completed camps from the Camps and Camps Attended tabs in Outreach.

## Account Section

Use the Account button to:

- Log in
- Create an account
- Upgrade to Pro or Family
- Open Stripe billing management
- Switch active athletes
- Add athletes
- Delete an athlete when allowed
- Create invite links
- Request a parent connection
- Sign out

The Active Athlete dropdown controls whose profile, outreach history, highlight link, school activity, and camp plans you are viewing.

Important: Always confirm the active athlete before editing a profile or sending outreach.

New accounts must verify their email before using the dashboard. After signup, Fieldhouse sends a verification link to the account email. Until the email is verified, the user can log in but will see the message "Please verify your email before using Fieldhouse Connect" and a Resend verification email button.

When creating an account, the user selects a tier:

- Starter
- Pro
- Family

The signed-in account section can also show upgrade buttons with pricing directly on the buttons:

The create account form requires:

- Email
- Password
- Confirm password

Passwords must be at least 8 characters and both password fields must match.

If an email already exists, the app shows an account already found message and sends the user back to sign in.

Email delivery requires these Railway environment variables:

- PUBLIC_APP_URL
- RESEND_API_KEY
- EMAIL_FROM

Starter is the free entry plan.

Starter includes:

- Athlete profile
- 5 recruiting opportunities per month
- D2, D3, NAIA, and JUCO school access
- Upcoming football camp listings

Starter does not include:

- D1 coach access
- AI College Suggestions
- Email generator
- Direct message generator
- Outreach tracking
- Registration links
- Saving camps and adding them to a calendar
- Camp attendance history and notes

Pro is for one athlete with full individual access.

Family is for parents or families managing athlete profiles.

Family includes:

- Everything in Pro
- Parent dashboard
- Up to 2 athlete profiles
- Separate athlete profiles
- Separate outreach histories
- Separate AI recommendations by active athlete
- Separate camp plans, calendar titles, and attendance notes by active athlete

If a child profile is connected to a parent account, the parent account must be Family to access that athlete profile.

Lifetime free accounts can bypass Stripe billing entirely. Those accounts keep access without using checkout or billing portal actions.

## Player Profile

The Player Profile section stores the athlete's core recruiting information:

- Name
- Graduation class
- Height
- Weight
- Age
- 40-yard dash, optional
- City and state, optional
- High school/current school
- GPA
- Primary position
- Social media, optional
- Highlight film link, optional
- Search state
- Division

The Readiness score increases as profile fields are completed. A score of 100 means all required profile fields are filled out.

The athlete name can be confirmed once by the profile owner. After confirmation, ordinary profile editing cannot change it. This protects parent accounts from accidentally assigning recruiting activity or calendar events to the wrong child.

## Program Matches

Program Matches helps find schools based on:

- Athlete position
- Selected state
- Selected division
- Available football programs in the database

Before searching, the map shows the selected recruiting area. After selecting Find matching programs, the school cards appear.

The Recruiting Preferences row includes:

- Search state
- Division
- Find matching programs

Each school card can show:

- School name
- Location
- Division
- Conference
- GPA estimate
- Academic fit label
- Contact readiness
- Logo
- Coach info availability

Select a school to unlock coach details and add the school to the monthly selection count when a monthly limit applies.

## AI College Suggestions

AI College Suggestions appears inside Program Matches above the school cards for Pro and Family accounts.

After schools are found, select Preview matches to ask Field House AI to rank the current program matches.

The AI uses:

- Athlete profile details
- Selected state
- Selected division
- Athlete position
- GPA/division estimate
- Coach contact readiness
- Current program match data

The AI does not search every college on the internet during this step. It ranks the current schools already returned by Program Matches.

Schools already in Outreach History are excluded from AI suggestions. This keeps the AI focused on new schools instead of repeating schools the athlete has already selected, viewed, or contacted.

AI suggestions can include:

- Recommended school
- Fit label
- Reason for the match
- Suggested next step

If the live AI service is unavailable, Fieldhouse can show a built-in backup ranking based on the same profile and school match data.

If every current match is already in Outreach History, the AI section will say there are no new AI suggestions. Search a new state, division, or position to find fresh options.

## Outreach

Outreach tracks recruiting activity for the active athlete on Pro and Family accounts. It is organized into three tabs:

- Schools: school and coach outreach activity.
- Camps: saved camps that have not ended.
- Camps Attended: saved camps after their end date.

It can include:

- Viewed coach directories
- Email outreach
- Direct message outreach
- Highlight views
- School name
- Coach name
- Role
- Contact details
- Athlete label for parent accounts

For parent accounts, outreach should be filtered by the active athlete so each athlete keeps a separate recruiting trail.

Saved camps follow the same active-athlete rule. A camp saved for one child does not appear in another child's Camps or Camps Attended tab.

## Email Generator

On coach-related actions, Pro and Family users can generate:

- Intro email
- Follow-up email
- Thank-you email

The user should review and edit the message before sending it from their own email account.

## Direct Message Generator

The direct message section works similarly to email generation and is available on Pro and Family accounts.

Users can create:

- Intro direct message
- Follow-up direct message
- Thank-you direct message

Direct messages are shorter than emails and are meant for social platforms or messaging tools.

## Highlight Links

The highlight link should use the short Fieldhouse format when available, such as:

When a coach opens a tracked highlight link, the app can record a highlight viewed event in Outreach History.

The highlight viewed tag appears when a tracked highlight link has been opened and saved to the athlete's outreach history.

## Football Camps

The Football Camps section shows upcoming camps that match available camp data.

Users can:

- Filter camps by state.
- View camp date.
- See host, location, eligibility, and cost.
- Open registration links when available.
- On Pro or Family, select Save & Add to Calendar for the active athlete.

Starter users can browse upcoming camp listings but cannot save camps, use calendar planning, open protected registration links, or create camp attendance records.

### Saving A Camp And Adding It To A Calendar

1. For a Family account, confirm the correct child in the Active Athlete selector.
2. Find the camp in Football Camps.
3. Confirm the athlete name shown on the Save & Add to Calendar button.
4. Select Save & Add to Calendar.
5. Fieldhouse saves the camp under that athlete and opens Google Calendar.
6. Review the event and select Save in Google Calendar.

The calendar event title uses the athlete's name followed by the camp name, for example:

The event is added to whichever Google account is currently signed in on the device. Fieldhouse does not maintain a continuous connection to that Google account, and saving a camp in Fieldhouse does not register the athlete for the camp.

After a camp is saved:

- It is removed from the available Football Camps list for that athlete.
- It appears under Outreach > Camps until its end date passes.
- It automatically appears under Outreach > Camps Attended after its end date.
- The user can add it to the calendar again from the saved camp card.
- Past camps can be marked Attended or Did not attend.
- Notes can record coaches spoken with, feedback, follow-up needs, and impressions.
- Camp notes are limited to 500 characters. The counter and save status show whether changes are unsaved, saving, or saved.

Each dated camp occurrence has its own stable ID. A camp that returns every year remains part of the same camp series, but the 2026 and 2027 occurrences are treated as different events. This preserves prior attendance and notes while allowing the new year's camp to appear separately.

Camp information should still be verified on the official camp or school website before registering.

## Parent And Child Accounts

The parent/athlete setup uses linked athlete profiles.

A Family parent account can:

- Add an athlete.
- Switch between athletes.
- Manage each athlete profile.
- View separate outreach histories.
- Create a child invite link.
- Delete an athlete when more than one athlete profile exists.

Child invite permissions:

- Editor: can update profile and outreach.
- Viewer: can view information only.

A child account can request parent connection from the Account section.

Child-to-parent request flow:

1. Child opens Account.
2. Child selects Ask parent to connect.
3. Child enters the parent's email.
4. Fieldhouse creates a secure parent request link.
5. If email delivery is configured, Fieldhouse emails the parent.
6. Parent opens the link and logs in or creates an account.
7. Parent must have Family access before the athlete profile is connected.
8. If the parent is Starter, the app redirects that parent into the account billing flow.
9. In that blocked parent-connection flow, the upgrade choice should point to Family only.
10. After the parent upgrades to Family, the same request can be accepted and completed.

If the parent is Starter or Pro, the app shows a Family plan required message and routes the parent toward Family billing before access is granted.

The Ask parent to connect section only appears for non-Family accounts. It is hidden on Family accounts.

Delete athlete rules:

- An account must keep at least one athlete profile.
- Only the profile owner can delete an athlete.
- Deleting an athlete removes that athlete profile and linked athlete activity.

## Academic Fit And GPA

The GPA estimate is based on broad division-level benchmarks, not individual school admissions requirements.

Academic fit labels are intended as a guide:

- Strong academic fit
- Possible academic fit
- Academic reach
- Add GPA

Users should verify final admissions requirements through the school's official admissions page.

## Best Practice Workflow

1. Complete the athlete profile.
2. Add a highlight link.
3. Search one state and division at a time.
4. Use AI College Suggestions to prioritize new schools from the current match list.
5. Select a small number of realistic schools.
6. Review coach roles and contact readiness.
7. Generate an intro email or direct message.
8. Send the message from the user's own account.
9. Track the outreach.
10. Follow up after several days.
11. Save relevant camps for the correct athlete and finish saving the event in the parent's or athlete's calendar.
12. After the camp, record attendance, notes, coach conversations, and follow-up needs in Camps Attended.

## Troubleshooting

If schools do not appear:

- Confirm the profile has required fields.
- Confirm state and division are selected.
- Refresh the page.
- Make sure the user is logged in.

If AI suggestions appear and then disappear:

- Refresh the page after the latest deployment.
- Run Find matching programs again.
- Confirm the suggested schools are not already in Outreach History.
- Search a different state or division if all current matches were already contacted.

If the wrong athlete appears:

- Open Account.
- Check the Active Athlete dropdown.
- Select the correct athlete.
- Confirm the Player Profile name changes.

If outreach history looks wrong:

- Confirm the active athlete.
- Refresh the page.
- Check whether the activity belongs to another athlete under the same parent account.

If a saved camp is missing from the Football Camps list:

- Open Outreach and select Camps or Camps Attended.
- Confirm the active athlete.
- Saved camps are intentionally removed from the available camp list for that athlete.

If a camp opens in the wrong calendar:

- Check which Google account is signed in before selecting Save in Google Calendar.
- Fieldhouse opens the calendar event but does not choose or continuously sync the Google account.
- Return to Outreach > Camps and select Add to calendar again after switching Google accounts.

If the wrong athlete name appears on a camp:

- Open Account and select the correct Active Athlete.
- Confirm the athlete label on Save & Add to Calendar before continuing.
- Verify the athlete's real name in Player Profile. Only the profile owner can perform the one-time name confirmation.

If a parent connection request does not work:

- Confirm the parent request database migration has been applied in Supabase.
- Confirm the parent is signed in with the same email used in the request.
- Confirm the parent account is Family.
- Confirm the request link has not expired.
- Confirm email delivery is configured if expecting an email.
- If the parent was blocked once already, confirm the parent upgrades through the Family billing path and then retries the same request.

If billing or upgrade actions do not work:

- Confirm the Railway production environment includes:
- `STRIPE_SECRET_KEY`
- `STRIPE_PUBLISHABLE_KEY`
- `STRIPE_PRO_MONTHLY_PRICE_ID`
- `STRIPE_PRO_ANNUAL_PRICE_ID`
- `STRIPE_FAMILY_MONTHLY_PRICE_ID`
- `STRIPE_FAMILY_ANNUAL_PRICE_ID`
- `STRIPE_WEBHOOK_SECRET`
- `YOUR_SITE_URL`
- Confirm the Railway service has redeployed after any Stripe variable changes.
- Confirm the user is not mixing test Stripe customers with live Stripe keys on the same account.

If logos are missing:

- Refresh after deployment.
- Confirm the school has a logo URL in the database.
- The fallback logo uses the school's athletics website favicon.

Fieldhouse Connect is an organization and communication tool. It does not guarantee offers, scholarships, admission, roster spots, or coach responses.

Coach contact details, camp dates, admissions requirements, and staff roles can change. Users should verify important details on official school, athletics, and camp pages before acting.
